Sales Support

Position Objective
Facilitate communication between customers, colleagues, and manufacturers & provide accurate answers with clarity and expediency

Responsibilities & Expectations

  • Answer emails and phone calls and handle accordingly per customer needs
  • Craft emails with clear description to elicit specific answers from over (150) different manufacturers, all with different systems and procedures
  • Communicate status of customer inquiries in a clear, concise manner via telephone and email, including close follow up with manufacturers and customers until issues are resolved
  • Error free order entry, including converting and processing orders, and sending them to the factories, and order comparison against approvals
  • Other duties as assigned or needed

Additional Responsibilities & Expectations

  • Ability to stay ahead of potential problems with orders, particularly those stemming from history of manufacturer’s successes or failures
  • Prepare submittal packages as needed
  • Follow up on all existing orders to be sure they are on schedule, and expedite as needed

Qualifications

  • Required education and experience – High School or GED equivalent with customer service experience, and other support-based positions
  • Preferred education and experience – Associates Degree or higher preferred, three (3) years lighting industry experience, Customer service experience in the commercial lighting industry,
  • Competency – Proficiency in Microsoft Office Suite, accurate writing and typing skills, ability to self-edit, friendly mannerism on phone, product knowledge, customer service skill set
  • Additional eligibility qualifications – Good organizational skills, independent thinker, team player, knowledge of Oasis system, Certificates of Training Completion with Lighting Manufacturers’

General

  • Supervisory responsibilities – Currently no direct reports
  • Work environment – This is an (assigned) inside office position. Occasional out-of-office destinations could include, other offices, site visits and factory visits. This is not a remote from home position due to 1) on-going collaboration required between other team members in the office, and 2) industry requires hand on activities where resources and tools are located in the office (e.g., blueprint machines, large scale printers, all other team members, etc.)
  • Physical demands – The physical demands of this job can include prolong periods of sitting, standing, and on occasion lifting (15 lbs.). Must also be able to access and navigate each department and office
  • Position type and expected hours of work – Full time position (40 hours), Monday – Friday
  • Travel – No travel is expected as part of this job with any regularity

Quotation Specialist

Position Objective
Assemble & provide quotes for sales team(s) and their customers in a timely and accurate manner.

Responsibilities & Expectations

  • Assist contractors and distributors with informative and responsible project pricing as well as knowledge about construction budgets
  • Daily tasks include but are not limited to logging in bids from quotes inbox, confirming territory being aware of due dates and anything else specific for each particular bid. Specialist must keep exceptional documentation within Oasis including schedules, title blocks, counts, specs, cuts, addendums, etc.
  • Communicate status of customer inquiries in a clear, concise manner via telephone and email, including close follow up with manufacturers and customers until issues are resolved
  • Error free order entry, including converting and processing orders, and sending them to the factories, and order comparison against approvals
  • Coordination and communication with both outside sales and customer is vital. Attaining competitive feedback and finding equals is a necessary tool used daily as is strategizing in order to provide the correct number ($) to the customer
  • Best practices include best pricing, adequate mark – ups, revising bids as necessary, closing and finalizing buys. Keeping up with product lines, knowledge and components is imperative

Additional Responsibilities & Expectations

  • Receive customer requests, create quotations, request factory pricing, distribute quotations, upload and store relevant documentation
  • Receive, translate, and store any and all customer documentation regarding pricing requests
  • Develop a quotation consisting of an accurate BOM and a competitive price
  • Communicate project specific requirements to both customer and outside sales
  • Ability to stay ahead of potential problems with orders, particularly those stemming from history of manufacturer’s successes or failures
  • Prepare submittal packages as needed Work with project manager to ensure that orders are placed accurately and in a timely fashion
  • Understand market conditions as they relate to price and product demands

Qualifications

  • Required education and experience – Three (3) year experience in lighting industry, commercial construction development and/or commercial lighting sales or related field.
  • Preferred education and experience – Bachelor’s Degree, Technical Degree, or equivalent & at least five (5) years’ equivalent industry experience. Experience and/or skilled with industry platforms such as Bluebeam, and AutoCAD.
  • Competency – Accurate writing and typing skills, Ability to self-edit, professional mannerism on phone and in person. Goal oriented and results driven, work with minimal supervision, possess excellent public speaking and presentation skills, In depth product knowledge of lighting and lighting systems. Maneuvering company’s line-card manufacturers’ sales portals is essential.
  • Additional eligibility qualifications – Proficiency in Microsoft Word and Excel, Oasis system knowledge as well as TEAMS.

Project Manager

Position Objective
Responsible for planning, organizing and managing all aspects of lighting projects from start to completion.

Responsibilities & Expectations

  • Handle all aspects of placing orders, follow through, and troubleshoot with outside vendors, lighting reps, manufacturers
  • Assist with RFQ’s and submittals
  • Interact and maintain solid relationships with customers while managing all aspects of project and troubleshooting
  • Assist with project coordination-scheduling, tracking, timely delivery, change orders
  • Miscellaneous tasks as needed and assigned

Additional Responsibilities & Expectations

  • Knowledge and understanding of competitors fixtures and the equals to those within our lines
  • Overall project management
  • Properly document and track all project information to drive to a successful completion in a timely manner
  • Coordinate and document all changes to design and documentation during buy, submittal, and ship processes
  • Manage project budget and negotiate pricing and Change orders as needed
  • Manage RMA/Warranty process
  • Communicate to customers the status of orders at the factory

Establish new and maintain existing relationships with key clients to promote and reach all company annual sales goals

Responsibilities & Expectations

  • Find new clients to expand customer base by cold calling, networking, & customer/associate referrals
  • Make sales calls on weekly basis either in person, phone, or email to both existing and potential customers
  • Stay current on all architectural specifications & construction design elements
  • Ability to perform all aspects of selling, pricing & closing new projects
  • Follow-up on all outstanding Request for Quotes (RFQ) and estimates with customers
  • Maintain acceptable profit margins
  • Responsible for solicitation of project documents, information and samples
  • Resolve problems, communicate daily with customers, other departments within the organization, manufacturers, and supervisor (if applicable)
  • Exceptional attention to detail and follow-up as well as attending company meetings as needed
  • Work within a team environment to meet company goals
  • Superb customer service, communication (both written and oral), and self-management skills with the ability to manage multiple priorities and business projects
